COOPERATIVE PURCHASING PROGRAM COORDINATOR POSITION Organization: Florida Sheriffs Association Position Description Under the direction of the Cooperative Purchasing Program Manager, the Cooperative Purchasing Program Coordinator coordinates the bid and administration of the cooperative purchasing contracts. The Cooperative Purchasing Program Coordinator performs administrative and operations duties and tasks specific to the position. Responsibilities Assists the Cooperative Purchasing Program Manager in developing bid calendars for each contract. Coordinates procurements using the online bid system. Coordinates travel and logistics for committee members to attend Program meetings and bid evaluations. Communicates with vendors, interested bidders, partner agencies, and purchasers to answer contract-related questions. Oversees and manages the Cooperative Purchasing Program general email (CPP) inbox. Maintains accurate program records. Prepares reports using Program databases. Creates training materials and executes training for purchasers, vendors, and interested bidders. Reconciles purchase order data and vendor quarterly reports to ensure accuracy of purchase orders submitted by vendors, and to ensure vendor administrative fee payments are completed in accordance with FSA contract terms and conditions. Assist with drafting Program communications. Conducts surveys to improve user experience and service. Coordinates website updates for the Program. Performs other duties as assigned. Education and Professional Certification and Experience Associate's degree with a minimum of five years' experience in an accounting, purchasing, or related function; or Bachelor's degree from an accredited college or university in business, accounting, CPP Coordinator 2 or a related course of study with one year of experience. Qualifications Computer programs, including intermediate skills in Excel and desktop publishing. Functional knowledge of procurement processes, statutes and procedures. Knowledge of contracts and terminology. Knowledge of value analysis and price trends. Excellent communication skills to include verbal and written proficiency.
